Terms of Service

These Terms govern your use of Painless Intake's services — website design and hosting, AI-assisted client intake, and electronic document workflows ("Services"). By purchasing or using the Services you agree to these Terms on behalf of your firm.

1. What we provide

A redesigned website for your firm, built, hosted, and maintained by us.
A branded intake form with AI-assisted lead scoring, a lead dashboard, and email alerts.
Electronic document sending and signature collection for forms you provide or approve.

2. Fees

A one-time setup fee covers design and launch of your website. It is fully refundable any time before your new site goes live. After launch it is non-refundable.
Your subscription is billed monthly or annually in advance and can be canceled at any time; cancellation takes effect at the end of the current billing period.
Setup includes up to 3 website revisions per quarter. Additional revisions and custom form build-outs are billed as listed on our pricing page.

3. Ownership

Always yours: your domain name, your firm's content (text, logos, photos), your leads, and your signed documents. You may export them at any time.
Licensed to you while subscribed: the website design, code, and the Painless Intake software. If you cancel, you may purchase the complete site files for a one-time buyout fee, after which the site is yours to host anywhere.

4. Cancellation & offboarding

After cancellation we continue hosting your site and form at no charge for 30 days.
We export your leads (CSV) and signed documents (PDF) and deliver them to you.
We will repoint your domain to your prior website or a placeholder page with your contact details, at your direction, at no charge.

5. Your responsibilities

You are responsible for the accuracy and legality of all content on your site and in your forms, including compliance with your jurisdiction's attorney advertising and ethics rules.
Agreement templates we provide are starting points only — have them reviewed for your jurisdiction. Painless Intake is not a law firm and provides no legal advice.
You are responsible for maintaining the confidentiality of your account credentials.

6. AI features

Lead scoring is an automated aid, not a professional judgment. You remain responsible for evaluating every prospective client and for all decisions about representation.

7. Data

Submissions are encrypted in transit and at rest. We use your data only to provide the Services and never sell it. You may request export or deletion of your data at any time.

8. Service levels

We target high availability but do not guarantee uninterrupted service. We are not liable for indirect or consequential damages; our total liability is capped at the fees you paid us in the 12 months preceding a claim.

9. Changes

We may update these Terms with notice by email. Continued use after notice constitutes acceptance.
